Booking Fee

A booking Fee of £100 (otherwise 20% of final bill for larger events) is required to secure The Green Room services for your date. This fee is non-refundable and will be deducted from your final outstanding balance. Payment of the booking fee is deemed as acceptance of these terms and conditions. No wedding or event is secured until the booking fee has been paid.


Quotation & Payment

A quotation for the cost of your wedding flowers will be sent to you after your initial consultation. Quotes are valid for 21 days. You will receive a final invoice approximately 30 days before your wedding. Payment is accepted by bank transfer only. Payment in full is required at least 4 weeks before your wedding day. If payment is not received, flowers will not be ordered.


Should the ingredients or components for the intended final design of the product or service rise significantly I shall notify you, the event commissioner as soon as reasonably possible and pass this cost on to client. Once final plans have been discussed and final quote produced, floral design is final - You will not be allowed to make any significant changes after the final invoice has been sent without additional fees. I will do my utmost best to accommodate small changes where possible and within a reasonable time request.


All products/flowers are subject to availability. In the event of supply difficulties, ‘The Green Room’ reserves the right to substitute a similar product/flower using own judgement. The customer will be informed of changes but not always. Please note that flowers by nature cannot always be exact in shades of colour and may have some markings or imperfections. I will use my artistry to select flowers to meet the brief



Florals and foliage can cause allergic reactions. ‘The Green Room’ is not responsible for any medical issues arising from, but not limited to proximity contact, scent, physical contact or any other form of contact to any component, fresh, preserved or otherwise. Client, by acceptance of these terms and conditions acknowledges this for themselves and all guests in contact with the flowers/components.

Weddings and events cancelation

Once an event has been confirmed, I will order flowers, reserve sundries, book staff and may refuse to supply other clients wishing to book The Green Room services. To compensate for costs incurred and loss of profits, charges may be applied for cancellation of a confirmed event. Cancellations must be received in writing and the date of receipt will determine the cancellation charge applicable. Charges below:

Cancellation up to 180 days prior will be charged at 25% of the total price

Cancellation up to 90 days prior will be charged at 50% of the total price

Cancellation up to 30 days prior will be charged at 150% of the total price

In the unfortunate event of cancellation, the booking fee cannot be refunded. Complete cancellation of the wedding must be advised in writing to: thegreenroommalvern@outlook.co.uk.

Postponement or Cancellation due to Corona Virus

If you are postponing your wedding due to corona virus/government legislation or restrictions, please check availability with me, as your booking fee is non refundable. If we are available, your booking fee will be transferred to your new date. If the postponement/cancellation is prior to ordering your wedding flowers, I will be happy to use your booking fee for a future date. If your flowers have been ordered, received, processed and/or designed, you will be financially responsible for the flowers and all labour provided. At no point can The Green Room refund all of the payment received.


Décoration + Hire

Items hired or borrowed from The Green Room (such as vases, containers, props, candles) shall at all times remain the property of The Green Room. You are responsible for the goods during the hire period from the time of delivery until the goods are accepted back into the possession of The Green Room. All items must be returned in the condition they were delivered or a replacement fee for the item will be charged. The hire period for all goods supplied by The Green Room will be variable and agreed prior to your wedding day or event, along with details for return/collection. Any items returned late will be charged accordingly.

Charges will be made for any glassware returned cracked, chipped or broken. Replacement of goods is charged at the current purchase price, it is then the responsibility of the hirer to reclaim any of these costs from the venue if the venue was at fault. Equipment hired (jugs, bottles, vases, plinths, candelabras, etc.) remain the property of ‘the green room' at all times. ‘The green room’ accepts no liability for injury, loss or damage to the hirer or any third party of any equipment hired for use at the event.

If any items are ordered for another vendor e.g. cake flowers, we will leave the flowers in the care of the venue if the vendor is not available at the time.

Times delayed on site due to factors outside of our control will be invoiced at an additional £10/hour per staff on site. Removal of flowers from the venue is your responsibility unless previously arranged and included in your quote. Any flowers not removed from our containers by the wedding party will be taken as part of our collection/clearance service.


Delivery terms

When completing a purchase through our online shop, you agree to ensure all details are correct. We cannot be responsible for any delays or undelivered items due to misspelt or incorrect details and regret that refunds or replacement flowers will not be offered in this case.

When ordering perishable products, it is your responsibility to ensure that someone will be available to receive the product on the date of delivery, or that an alternative safe drop-off point has been arranged. You agree to ensure that all details are included in the order or to contact us directly in advance. If nobody is home to receive the products, we will leave a delivery note to specify whether the flowers have been left with a neighbour or in a safe place on the property. I hand deliver bouquet flowers within a ten-mile radius of my studio in Malvern, WR14 1RT. I regret that I am unable to deliver before 8am and cannot guarantee or specify a delivery time slot. Delivery will take place within 9am and 2pm on specified date/day.


Event Delivery

Bridal flower, event and buttonhole delivery, if required to deliver to an alternative address to the venue - will be free of charge up to a 10 mile radius. Any delivery of event or bridal flowers to be delivered outside of the 10 mile radius will be charged at 65p per mile and will be invoiced accordingly.



Please sign and return a copy of the Terms and Conditions as listed here with; by the act of paying a booking fee you are proceeding with the booking and entering into a contract and therefore agree to these Terms and Conditions. We reserve the right to supplement and amend the Terms and Conditions of The Green Room product or service from time to time. We will inform the event commissioner of any changes to the terms and conditions. Please retain a copy for your records.
