Booking Fee
A booking Fee is required to secure The Green Room services for your date - for large events a 20% of final bill is required. This fee is to cover costs such as initial admin, communication, design of floral mood board etc. It is non-refundable under any circumstances and will be deducted from your final outstanding balance. Payment of the booking fee is deemed as acceptance of these terms and conditions. No wedding or event is booked in our Calendar until the booking fee has been paid.
Quotation & Payment
A floral design quotation for the cost of your wedding flowers will be sent to you after your initial consultation. Quotes are valid for 21 days. Payment is accepted by bank transfer. If you would like to pay via credit card there will be an additional transaction fee. Payment in full is required 6 weeks before your wedding day. You will receive a reminder of this by email. If payment is not received, flowers will not be ordered and we reserve the right to cancel booking if necessary. Once final plans have been discussed and final quote produced, floral design is final. We are unable to make any significant changes after the final invoice has been sent, no less than 6 weeks prior to the event date. I will do my utmost best to accommodate small changes where possible and within a reasonable time request but do reserve the right to say no to making any further amendments.
Floral design budget, stated in initial quote cannot be reduced more than 10% once I have provided a first draft quote and design planning has begun. If larger reduction is requested, cancellation charges will apply and admin cost. This is due to the nature of booking work ahead and forecasting which would lead to loss of future earnings therefore this is chargeable to the client.
Floral Design
All designs created for the event and leading up to - such as mock ups and mood boards are the intellectual property of The Green Room floral studio and should not be shared for any reason for personal gain or with competitors. If it is discovered that designs have been shared for disingenuous reasons, we reserve the right to cancel the event without notice and without refunding any monies paid.
Design + Suppliers
The Green Room requests that you notify us of any other suppliers you are using. The Green Room works only on the basis that they are the only floral designer + floral supplier working on the event for the client. If it is discovered that another floral designer is working on the event or you are supplying your own flowers, without prior discussion and agreement - we reserve the right to cancel the wedding without refund or compensation. This is to ensure our work is exclusive and our floral design identity is maintained to the highest standard.
Availability
As flowers are grown by seasonality, all products/flowers are subject to availability and no specific flowers are guaranteed. In the event of supply difficulties, we reserve the right to substitute a similar product/flower using own judgement. No refund or compensation would be offered in these circumstances.
Florals and foliage can cause allergic reactions. ‘The Green Room’ is not responsible for any medical issues arising from, but not limited to proximity contact, scent, physical contact or any other form of contact to any component, fresh, preserved or otherwise. Client, by acceptance of these terms and conditions acknowledges this for themselves and all guests in contact with the flowers/components.
Price changes/inflation
Should the ingredients or components for the intended final design of the product or service rise significantly we shall notify you, the client, as soon as reasonably possible and pass this cost on to client. I will do my best to make changes where possible to work within the clients floral budget. We will increase cost year on year in line with inflation.
Décoration + Hire Items
hired from The Green Room (such as vases, containers, props, candles) shall at all times remain the property of The Green Room. You are responsible for the goods during the use period from the time of delivery until the goods are accepted back into our possession. Charges will be made for any item returned cracked, chipped or broken. Replacement of goods is charged at the current purchase price. If items aren’t there to be collected the day after your wedding day. items should be returned within 7 days of delivery date. Any items returned late will be charged accordingly. We accepts no liability for injury, loss or damage to the hire item or any third party of any equipment hired for use at the event.
Weddings and events cancelation
Once an event has been confirmed, I will order flowers, reserve sundries, book staff and will refuse to supply other clients wishing to book The Green Room services on said date. To compensate for costs incurred and loss of profits, charges will be applied for cancellation of a booked event.
Cancellations must be received in writing and the date of receipt will determine the cancellation charge applicable. Charges below: Cancellation up to 180 days prior will be charged at 90% of the total price Cancellation up to 30 days prior will be charged at 100% of the total price
Flower Delivery
We will deliver flowers in a condition we are happy with following a rigorous process of conditioning and preparation. Once flowers have been delivered for a wedding or event - we take no responsibility for the process of perishing of flowers once the flowers have been handed over to client. We we offer no compensation in any event of the natural aging of flowers.
Additional delivery
if we are required to deliver to an alternative address to the venue - this will be charged at 65p per mile plus service time and will be invoiced accordingly. This may be included within your florist fee on your quote but I will advise of this prior to delivery.
Moving of flowers
a risk assessment will be carried out prior to the wedding day for install and set up of flowers. If on the day, circumstances change (such as weather) - we will make a final decision with regards to placement of flowers if it is deemed to risky. We have the final decision on this and no compensation will be offered if flower location would need to be moved.
Unforeseeable changes due to weather
should there be a need to change flowers or set up due to weather, we will use our own judgement and risk assessment to make necessary and safe changes. We have final decision on this.
Delays
Delays on site due to factors outside of our control (venue or family) which would lead to us staying on site significantly longer than charged and planned, will be charged and invoiced at an additional £20/hour per staff on site. If the time required to stay on site is over an hour, we reserve the right to leave at the original agreed time and no compensation would be offered.
Removal of flowers
the venue is your responsibility unless arranged via clearance and included in your quote. Any flowers not removed from our containers by the wedding party will be taken as part of our collection/clearance service.
Postponement or Cancellation (due to any reasons including Corona Virus)
If you are postponing your wedding due to corona virus/government legislation or restrictions, please check availability with me, as your booking fee is non refundable. If we are available, your booking fee will be transferred to your new date. If the postponement/cancellation is prior to ordering your wedding flowers, I will be happy to use your booking fee for a future date. If your flowers have been ordered, received, processed and/or designed, you will be financially responsible for the flowers and all labour provided. At no point can The Green Room refund all of the payment received.
Delivery terms
When completing a purchase through our online shop, you agree to ensure all details are correct. We cannot be responsible for any delays or undelivered items due to misspelt or incorrect details and regret that refunds or replacement flowers will not be offered in this case. When ordering perishable products, it is your responsibility to ensure that someone will be available to receive the product on the date of delivery, or that an alternative safe drop-off point has been arranged. You agree to ensure that all details are included in the order or to contact us directly in advance. I am unable to deliver before 8am and cannot guarantee or specify a delivery time slot. Delivery will take place within 9am and 2pm on specified date/day.
Agreement to Terms & Conditions
By the act of paying a booking fee you are proceeding with the booking and entering into a contract and therefore agree to these Terms and Conditions. We reserve the right to supplement and amend the Terms and Conditions of The Green Room product or service from time to time. We will inform the event commissioner of any significant changes to the terms and conditions. Please retain a copy for your records.
